Customer Service Cover Letter Example (With a Template You Can Copy)

Customer service hiring managers read for two things: proof you can stay calm and useful with an unhappy person, and evidence you hit numbers (handle time, CSAT, first-contact resolution). This example shows both in under a page.

Fictional applicant Maya Torres applying for Customer Service Representative at Brightline Home Services.

Dear Ms. Alvarez,

I am applying for the Customer Service Representative position at Brightline Home Services. For the past three years I have handled phone and chat support for a regional utility, where I resolved an average of 62 contacts a day with a 94% customer satisfaction score, and I would like to bring that record to a company whose reviews mention your technicians by name.

At Clearwater Energy I was the person customers reached after a missed appointment or a bill they did not understand. I learned to open with what I could do, not what I could not, and to write down the promise I made so the next agent could see it. That habit is why my first-contact resolution rate stayed above 80% while the team average was 71%, and why my supervisor moved escalations to my queue during the 2024 storm season.

I also care about the boring parts. I kept my notes clean in Zendesk, flagged three recurring billing errors to the product team with call examples, and trained four new hires on our refund workflow. Two of them are now team leads.

Brightline's job posting asks for someone who can explain a service plan to a homeowner without jargon. That is most of what I did at Clearwater, and I would be glad to show you on a call. Thank you for your time.

Sincerely,
Maya Torres

Dear [Hiring manager's name],

I am applying for the [job title] position at [company]. [One sentence: the single fact about you that best matches the posting, with a number.]

[Proof paragraph 1: one story from your resume, what you did, the result, mapped to something the posting asks for.]

[Proof paragraph 2: a second story, ideally a different skill: a process you built, people you trained, a system you know.]

[One sentence about the company that shows you read the posting or know the product.] [One sentence connecting that to what you would do.]

Thank you for your time. [A plain ask: a call, a sample, fifteen minutes.]

Sincerely,
[Your name]
