Resignation Letter Example (Formal, With and Without Notice Period)
A resignation letter is a two-paragraph document: the fact and the date, then the handover. Everything else is optional. Below are three versions for the three situations people actually face.
Formal, with notice period
Dear Mr. Lindqvist, I am writing to formally resign from my position as Accounts Payable Specialist at Norden Manufacturing. In line with my contract, I am giving four weeks' notice; my final working day will be Friday, November 7, 2026. During the notice period I will close the October vendor run, update the procedures manual, and train whoever you designate on the approval workflow. Immediate resignation
Dear Ms. Ford, I am resigning from my position as Line Cook at Harbor Kitchen, effective today, September 15, 2026. Long tenure, leaving well

Resignation letters: what people ask
Is a resignation letter legally required?
Usually not, but most contracts require written notice, and a dated letter is your proof of when the notice period started.
Should I mention problems with my manager?
No. The letter goes in your file and may be read by a future reference checker. Raise issues in an exit interview if you want, not in writing here.
Can I resign by email?
Yes. An email with the same content is a written resignation. Put "Resignation – [your name]" in the subject line.
